Codes and units are checked before quantities are compared. Repeated codes remain unresolved: the workflow does not force a match that could distort the result.

Differences with verifiable sources

Each cumulative quantity retains its source sheet and cell, together with the file fingerprint. A quantity difference is not converted into financial impact without verified prices.

Understand the collection before adding AI

We assess document types, scanned pages, repeated files, naming patterns and available metadata. The inventory identifies sources, versions and areas where text extraction or classification needs review.

A searchable collection is not the same as a reliable information system. The project includes rules for how documents enter the inventory, who owns them and how newer revisions replace or relate to older material.

Answers grounded in identifiable sources

The copilot retrieves relevant information from the permitted collection and presents references to the supporting documents. Where appropriate, answers point to specific pages or passages so the user can verify the result.

Conflicting revisions, absent evidence and ambiguous questions need explicit handling. The interface must make it possible to inspect the source rather than treating generated text as an authoritative technical instruction.

Access follows the company structure

Roles and permissions are part of the design. A query must not expose information that the user could not otherwise access, including through summaries or indirect references.

Hosting, model provider, retention, audit requirements and integrations are agreed with the organization. Confidential files are not made public as demonstration material, and no assumption is made that every document can be sent to an external service.

From isolated questions to useful workflows

Applications include finding a maintenance procedure, comparing revisions, locating a project requirement or assembling a source-linked summary for review. The priority is the task the team needs to complete.

The same approach can be adapted to engineering companies, industrial operators and internal business documentation. It is configured and evaluated for the collection, rather than sold as a generic chatbot with guaranteed answers.

Test with representative questions

A pilot uses agreed questions, relevant documents and examples of missing or restricted information. Review checks source relevance, version selection, permission boundaries and appropriate refusal when evidence is insufficient.
